- Banks – Client may grant view‑only access to their bank account so that financial information (such as statements or transaction data) can be viewed or downloaded for bookkeeping purposes. Software platforms – Client may use third‑party financial or bookkeeping applications (such as receipt‑capture or banking apps) which provide data to us for processing as part of their bookkeeping records.
How long we keep information
We retain personal and financial information only for as long as required by law and good professional practice. This includes:
- Client records – normally kept for six years after the end of our working relationship, in line with HMRC requirements.
- Enquiry records – retained for up to twelve months where no ongoing relationship is formed.
- AML due‑diligence records – kept for five years from the end of the client relationship, as required under the Money Laundering Regulations.
When information is no longer required, we securely delete or destroy it.
Who we share information with
Data processors
Cloud‑based bookkeeping software provider (e.g., Xero, QuickBooks, FreeAgent) — financial software sector, UK‑based.
This data processor does the following activities for us: They provide the bookkeeping platform where client financial records are stored and processed. This includes transaction data, invoices, receipts, reports and account information used to deliver bookkeeping services.
Email hosting provider (e.g., Outlook, Gmail) — communications services sector, UK\/EU\/US‑based.
This data processor does the following activities for us: They process client information contained in emails, including messages, attachments and documents shared as part of bookkeeping work.
Others we share personal information with

What they do: They provide financial data, receipts, transaction feeds or documents generated by the client’s use of their platform, which are used as part of the bookkeeping process.
